Hawkesbury Riding Club – Committee Position Descriptions


Members must be over 18years of age to hold a committee position and to vote.


President:
Chairs committee meetings and represents the club.


2 x Vice Presidents:
Deputises for the President at club days and undertakes tasks as delegated by the President.
Chairs meetings in President’s absence.


Secretary:
Manages correspondence and is the main contact person for all club business.


Minutes Secretary:
It is their duty to keep minutes of:
a) all appointments of office-bearers and members of the committee
b) the names of members of the committee present at meetings
c) the proceedings of all meetings. Needs to be able to attend regular meetings and AGM


Membership Secretary:
Establishes & maintains the register of members. The members register sets out names, addresses,
contact details for each member, and the date their members commenced. Database experience essential.
 

Treasurer:
It is their duty to see that all money due to the association is collected and received and that all payments authorised
by the club are made and that correct books and accounts are kept, sharing the financial affairs, including full details
of all receipts and expenditure connected with the activities of the club.

Communications Secretary:
Administers the Club’s Website and Facebook pages. Manages communications to members via email as required.
 

Newsletter Editor:
Writes & publishes monthly newsletter via email. Must be able to attend monthly meetings.


Grounds Maintenance Coordinator:
Coordinates the Ground Maintenance days and other general maintenance.
 

Pointscore Coordinator:
Keeps records of members' attendance at training days and their volunteer hours. Database/spreadsheet experience is essential.


Merchandising Officer:
Orders, maintains and sells our merchandise. MUST be able to attend Training Days.


Projects Officer:
Organises and project manages works / special projects undertaken by the club.


Sponsorship Coordinator:
Responsible for sourcing and managing sponsorship opportunities and major fundraising efforts.


Grants Officer:
Responsible for sourcing and lodging grants applications.

Education Officer / Clinic Coordinator:
Arranges guest instructors to run special clinics/seminars and could include coordination of educational content for
the newsletter.


Head of Training Day Sub-Committee:
Coordinates instructors for training days. Manages instructors' concerns and ensures rotation of facilities fairly
between groups. To be assisted by members of the Training Day sub-committee who manage:
a) The Training Day online registration process.
b) The sign-on process at a Training Day.


Head of Catering:
To oversee the running of the canteen/catering at events.
To be assisted by members of the Catering sub-committee who are responsible for:
a) Coordinating the volunteer roster
b) Purchasing supplies
c) Providing refreshments at events


Head of Dressage Sub-Committee:
Responsible for the organisation of dressage days.


Head of Show Jumping Sub-Committee:
Responsible for the organisation of show jumping Days


Head of Derby Day Sub-Committee:
Responsible for the organisation of Derby Days


Head of Social Sub-Committee:
Responsible for organisation of all the fun social gatherings. Can expand into other fundraising social activities.


Head of Closed Gymkhana Sub-Committee:
Coordinates the end of year gymkhana. The members of the Gymkhana sub-committee are responsible for:
a) Hacking
b) Dressage
c) Jumping
d) Annual Awards


Head of Workplace Health & Safety Sub-Committee:
Ensures our compliance with OH & S legislation and COVID-19 compliance.


Juniors’ Mentor
Assist junior members and organise specific activities for junior members.

 


All committee members are also required to be on the club lock-up roster twice throughout the year to secure the
grounds after events or training days.
